Tenancy-IQ Privacy Policy

Painter Process Control Solutions LLC ("we," "us," or "our"), the owner and operator of the Tenancy-IQ platform, is committed to protecting your privacy. This Privacy Policy outlines how we collect, use, disclose, and safeguard your information when you use our web and mobile applications and related services (collectively, the "Service").
1. Information We Collect
- Account Information: Name, email address, company name, and other registration data.
- Tenant and Property Data: Lease details, rent amounts, maintenance logs, and tenant names.
- Rental Application Data: Applicant contact information, current address, desired move-in date, household and pet information, employment and income information, typed attestations, application status, and staff review history.
- Applicant Documents: Requested income proof or other supporting files that an applicant or authorized property staff chooses to upload. The current applicant portal does not request government identification, Social Security numbers, dates of birth, bank or payment-card details, or screening reports.
- Payment Information: Processed securely through Stripe; we do not store credit card data.
- SMS Alert Information: Mobile phone numbers, SMS alert preferences, opt-in status, and consent timestamps when users choose to receive text alerts.
- Native Notification Information: An Apple Push Notification service (APNs) device token, a randomly generated app-scoped installation identifier and its server-side hash, notification authorization status, category preferences, dispatcher-route choices, timezone and quiet-hours settings, and linked routing, delivery, duplicate-suppression, receipt, and read-state metadata. These records are linked to the signed-in account and company only to provide authenticated app notifications.
- Device & Usage Data: IP address, device type, browser type, usage patterns.
2. How We Use Your Information

- Send opted-in SMS alerts for urgent maintenance ticket assignments and priority or assignment updates
- Supplement email and consented SMS with native notifications routed by current role, assignment, and configured dispatcher responsibility; suppress duplicates; honor category and quiet-hours choices; revoke installations; and remove invalid APNs tokens
- Provide a secure application workspace, determine whether required fields and document categories have been submitted, and allow authorized property staff to review and verify application materials
3. Sharing Your Information
We do not sell or rent personal data, and we do not share personal data with third parties or affiliates for their own marketing or promotional purposes. We use trusted service providers only as needed to operate Tenancy-IQ's core services:
- Firebase (data and authentication)
- Stripe (payments)
- Twilio (SMS)
- SendGrid (email)
- OpenAI (AI features)
- Apple Push Notification service (native notification delivery)
These providers process information only to support Tenancy-IQ services that we request, such as authentication, payment processing, SMS delivery, email delivery, hosting, support, and product functionality. For an enabled native notification installation, Apple receives the APNs device token and a generic notification payload solely to attempt delivery. The payload does not contain applicant or tenant identity, property facts, rent amounts, document content, access codes, or internal notes.
APNs device and installation identifiers are not used for tracking, advertising, profiling, sale, or sharing with data brokers. Push supplements existing email records and consented SMS; it does not replace required notices, application or signing links, receipts, or transactional records.
Rental application information is made available to authorized users of the property-management company associated with the application. Tenancy-IQ does not use applicant documents to make an automated approval or denial decision. If an AI-assisted applicant-document feature is introduced in the future, applicants will receive an additional notice describing the information processed, the provider involved, and the human-review controls before that processing is enabled.
4. SMS Alert Program and Messaging Disclosures
Mobile phone numbers and SMS consent records are used only to deliver Tenancy-IQ transactional service alerts selected by the user for urgent maintenance ticket assignments and priority or assignment updates. Tenancy-IQ SMS messages are operational property-management alerts only. We do not use SMS opt-in information for marketing, lead generation, or affiliate promotional campaigns.
By enabling SMS alerts, you agree to receive recurring transactional text messages from Tenancy-IQ, a service operated by Painter Process Control Solutions LLC. Message frequency varies based on urgent maintenance activity. Message and data rates may apply. Reply STOP to unsubscribe and HELP for help. SMS consent is optional and is not a condition of purchasing or using Tenancy-IQ.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. We do not share, sell, or otherwise provide your mobile phone number or messaging consent information to any third parties or affiliates for marketing or promotional purposes. Mobile phone numbers, SMS opt-in data, and text messaging originator opt-in data and consent will not be shared with any third parties except service providers that support delivery of Tenancy-IQ transactional service alerts.
5. Data Retention
Data is retained as long as reasonably necessary to provide the Service, maintain property-management and application records, meet legal or contractual obligations, prevent fraud, resolve disputes, and enforce agreements. Property-management companies are responsible for selecting and following retention requirements that apply to their rental records. Applicants and users may request deletion as described below; some records may be retained where required or permitted by law.
Active server-side APNs token and token-claim records are retained only while an installation is authorized and associated with the signed-in company account. Tenancy-IQ deletes the initiating installation records on successful logout, deletes every token and claim for the authenticated user in the current company account when push is disabled while preserving another company account, and deletes applicable records after access or company revocation, a terminal invalid-token response from Apple, or account/company deletion. During token rotation, superseded token and claim data is replaced or removed while the current authorized registration remains active. Push category, timezone, and quiet-hours preferences remain with the user profile until changed or the account or company is deleted. Dispatcher-route choices are removed when the route changes, access or company responsibility is revoked, or the account or company is deleted.
Notification source, event, delivery, duplicate-suppression, receipt, and badge-state records are assigned an expiration timestamp 30 days after creation and become eligible for asynchronous deletion through configured cloud time-to-live processing after expiration. Server audit records may contain company, user, resource, event, route, and provider-request identifiers needed to authorize and troubleshoot delivery. They do not contain a raw APNs token outside the active installation record or the underlying applicant, tenant, property, financial, document, access-code, or internal-note content.
6. Your Rights and Choices
You can manage or delete your personal information through account settings or by contacting us. Data deletion instructions are available at https://tenancy-iq.com/data-deletion. You may also opt out of non-essential communications. Native notification permission can be allowed or denied in iOS Settings; separate in-app controls manage push categories, quiet hours, and dispatcher routes. Successful logout revokes only the initiating installation and clears that device's local random installation identifier. Disabling push removes every server-side token, claim or hash, and account association for the authenticated user in the current company account, while preserving records belonging to another company account; it may retain a locally unlinked random identifier for later re-enable. SMS users can opt out by replying STOP to a Tenancy-IQ text message or request help by replying HELP.
7. Data Security
We use access controls, company-scoped records, encrypted network transport, private cloud storage, expiring applicant links, and backups to protect information. Applicant files are not intended to be public. No system is 100% secure, and users should not submit information that the application workflow does not request.
8. Children's Privacy
Our services are not for users under 18. We do not knowingly collect data from minors.
9. Changes to This Policy
Policy updates will be posted here and, when material, via in-app or email notifications. Continued use implies acceptance.
